WHERE WE START

A clear business problem.

A report should help someone make a decision. Activ-8 helps businesses define useful measures, connect the records behind them and build reporting that can be checked against the source. The focus is a clear view of performance, with enough context to understand what changed and who needs to act.

This could be useful when:

  • Different spreadsheets report different versions of the same result.
  • Managers spend hours assembling the weekly or monthly report.
  • Sales, marketing and operating figures cannot be compared consistently.
  • Dashboards show totals without explaining the causes or the next decision.

POTENTIAL PROJECT SCOPE

What the work can cover.

The proposal defines the specific deliverables, responsibilities and costs for your engagement.

01

KPI and reporting design

Agree what each measure means, which decision it supports and how it is calculated. Define the reporting period, owner and level of detail before building a dashboard.

02

Data connections and quality checks

Review the systems and exports holding the required records. Define matching rules, refresh arrangements and checks for missing, duplicated or inconsistent information.

03

Management dashboards

Build a practical view of sales, marketing, costs or delivery using an appropriate reporting tool. Add comparisons, filters and drill-downs where they help explain a result.

04

Recurring reporting and handover

Agree how reports are refreshed, checked and reviewed. Document the calculations, access and ownership so the team can maintain the reporting after delivery.

A USEFUL FIRST CONVERSATION

Come with the context.

Bring the reports you use today, the decisions they should support and a list of source systems. Examples of conflicting figures or time-consuming manual work help define the initial scope. Access and permitted data use are agreed before connection.

Measures we could agree

  • Time spent preparing an agreed reporting pack
  • Records passing the agreed quality checks
  • Differences between dashboard and source totals
  • Use of the report in recurring management decisions

Measures and targets depend on your starting point. We agree the baseline and review method as part of the scope.

HOW THE WORK PROGRESSES

From the initial review to delivery.

01

Start with the decision and definitions

Agree who will use the report and which decisions it should support. Define each measure, the reporting period and the source records behind it. Identify any gaps, estimated inputs or inconsistent labels that could change how the figures are interpreted.

02

Connect, reconcile and build

Prepare the agreed exports or connections, then check totals and sample records against the source systems. Build the first dashboard around the priority questions. Make missing data and refresh dates visible so users understand the limits of the current view.

03

Test the management routine

Review the report with its users during an actual planning or performance discussion. Check filters, calculations and access, and agree which issues trigger action. Document refresh responsibilities and change control so the report remains useful when the source systems change.

BUDGET AND RESPONSIBILITIES

Agree the investment and the handover.

What affects the budget?

A dashboard build or reporting repair uses a total project budget. Continued report maintenance and management analysis can use a monthly budget. Scope depends on source count, data quality, calculation complexity, refresh frequency and access requirements. Software licences and external connector charges are separate cost items.

What your team takes forward

The handover can include a KPI dictionary, source map, reconciliation results, dashboard and refresh instructions. Agree who owns the accounts and who investigates a failed update. Record any manual steps and known limitations so the business can maintain confidence in the figures.

USEFUL QUESTIONS

Before you enquire.

Which reporting tools can the scope include?

The project can assess Power BI, Looker Studio, spreadsheets or reporting already available in your systems. Tool choice depends on the data sources, access, refresh needs, licensing and who will maintain the result.

Can you combine sales, marketing and operational data?

Yes, where access and compatible records make the connections possible. The scope needs common definitions and matching rules so the combined view compares the same customers, periods or activities.

Can we start with one management dashboard?

Yes. Start with a defined set of decisions, users and source records. A smaller first release lets the team check the figures and usefulness before adding more sources or reporting areas.
