WHERE WE START
AI projects need a specific job, reliable inputs and a person accountable for the output. Activ-8 helps businesses find useful applications, test a small working version and integrate it into an existing process.
POTENTIAL PROJECT SCOPE
The proposal defines the specific deliverables, responsibilities and costs for your engagement.
Map repetitive work, the data it depends on and the cost of errors. Rank candidate projects by likely value, effort and suitability for automation.
Test one workflow using agreed examples and acceptance criteria. Compare accuracy, review time and operating cost before expanding its use.
Plan the connection between the assistant, CRM, knowledge sources and reporting tools. Set access permissions and clear handoffs to people.
Document how the workflow should be used, what staff must check and who maintains it. Train the people responsible for operating it.
A USEFUL FIRST CONVERSATION
Bring 1 or 2 repetitive tasks, the tools involved and representative examples you are authorised to share. We will agree access and data handling before connecting production systems.
Measures and targets depend on your starting point. We agree the baseline and review method as part of the scope.
HOW THE WORK PROGRESSES
Describe the task from input to output, including the exceptions a person handles today. Agree representative test examples, the acceptable error rate and who reviews the result. Check data access and software permissions before choosing tools or committing to a build.
Connect the minimum systems needed to test the task. Run normal and difficult examples, record failures and compare the full effort with the existing process. Include the time people spend checking and correcting output when judging whether the pilot is useful.
Agree a staged release, monitoring and a way to pause the workflow. Train the staff who will use it and document what happens when a connection fails or a result needs review. Expansion follows evidence from the pilot and a separately agreed scope.
BUDGET AND RESPONSIBILITIES
The form asks for the total project budget. Scoping separates discovery, configuration or development, testing and handover from recurring software, API usage and maintenance. Integration access, data quality, the number of systems and the level of human review all affect delivery effort.
The handover can include a workflow map, test results, access responsibilities and operating instructions. Agree who pays for subscriptions, who owns the accounts and who fixes issues after delivery. Any continuing support is defined separately in the proposal.

USEFUL QUESTIONS
Tool selection follows the use case, your existing systems and the access available. The proposed stack is agreed during scoping, including licensing and any specialist development requirements.
Often, subject to the CRM's supported integrations, permissions and data quality. We first map the fields and the action to be taken, then test the connection before live use.
We define test cases, review points and an escalation route. Decisions with material consequences should have appropriate human approval, and the workflow needs a safe way to stop or revert.
